How to Request Use of Technology Van

This is a note to clarify policy regarding the technology van. It does not apply to other SECEP vehicles.  

1) All usage of the van by non-technology staff must be approved by myself unless I am otherwise directed by my supervisor.

2) Requests to use the van must be submitted to me via email three days prior to it being needed to allow for planning. The request must include the name of the driver and any passengers. No more than one driver and one passenger are permitted in the van as occupants. Requests will only be considered when submitted by a principal or a coordinator.

3) A copy of the driver's DMV record must be submitted to me before van usage will be approved.

4) Requests will only be approved in the event that the van is not being used by technology staff.

5) The van must be refueled prior to return.

6) Requests may be pre-empted by technology needs should they arise.  

If these steps are not followed van usage will not be approved. Should anything happen to the van while somebody is using it; we will have no van when we need it most. This will adversely affect productivity by our department, and have a trickle-down effect of poor service to our customers. It will no doubt be many years before we will have funding to replace the van, so it is in the best interest of all to keep the mileage on the van relatively low. We will be happy to cooperate where and when possible; but procedures exist for a reason and must be followed.
